Overview

Allegis Group made an investment in a new platform for all Operating Companies (OpCos) to host their intranet sites. From December 2023 to June 2024, I was part of the AGS Insider Team. Our responsibilities included conducting a website audit of our existing intranet, developing a new site map based on our audit findings, creating guidelines and templates for internal teams to use, and conducting beta testing prior to the official launch.

Process

During the first few weeks, our team took the time to learn the capabilities and limitations of the Simpplr platform. I connected with other OpCos who already switched over to the platform and discussed with them their process - from initial build to implementation. Through the various interviews I conducted, I learned that most OpCos were building out their intranet piece by piece. I wanted our team to approach our intranet build holistically as we wanted the user’s experience to be as seamless as possible.

The first step was to conduct a website audit of our current intranet site that was hosted through Sharepoint. We had each function lead their sections website audit to help speed up the process, and to identify the key pieces of information that were going to be transferred over to the new intranet. During this process, we found that much of the current information on the site was outdated. With the information given to us by the different functions of which information to transfer, we were then able to map out the site’s architecture.

The next step for the intranet build was to design the look and feel of the site. To do this, I connected with the other designers at the different OpCos who already built out their sites Intranet to learn what templates they’ve created and to get any advice on their reflections of the process. Through this, I learned that most OpCos created a tile template for people to size images with but did not have any guidelines in place. Our team decided to take this opportunity of us starting our intranet from scratch and implement guidelines for others in the company to follow to make our intranet visually cohesive which in turn led to more intentional reasoning behind the ‘why’.

A key part to the new intranet site was creating a guide for individuals to utilize while creating their own function’s pages. The main purposes for this guide include:

  • Step by step instructions on how to create new pages

  • Defining the differences between terminology used by Simpplr (Site versus Page)

  • Links to templates created for consistent tile creations

  • A brief Do’s and Don’ts list for easy reference

Redesign

The redesigned intranet on the new Simpplr platform marks a fresh start for our company. The site now reflects our updated brand identity, making vital information easy to locate. It also boasts consistency across all pages, facilitating seamless navigation from one page to another. Below are screenshots showcasing the new look of our refreshed intranet.
